Introduction to Asset Audit

The Asset Audit is a structured evaluation process designed to assess service locations for compliance with Cummins standards. This process encompasses a comprehensive review of both the availability of essential tools and the certification status of technicians.

Cummins Account Executives are responsible for scheduling audits across the service locations under their supervision. The SPA application enables them to efficiently plan, execute, and complete these audits. Additionally, it provides the capability to define tasks and formulate action plans based on audit outcomes.

By ensuring that each service location is equipped with the appropriate tools and certified personnel, this process enhances operational efficiency, supports successful work order completion, and ultimately contributes to the reduction of TNF.

Schedule Audit

To schedule an audit for a service location, follow the steps below:

  1. Access the SPA application using the designated link - https://spa.cummins.com/
  2. Select “Cummins User Login”, as only Cummins employees are authorized to schedule audits.

  1. Upon login, the TNF Dashboard will display all assigned service provider locations.
  2. Click “View” for the location where the audit is to be scheduled.

  1. The TNF Scorecard for the selected location will open.
  2. Navigate to the Asset Audit tab.
  3. Click “Schedule Audit” and choose “Overall”.

  1. In the dialog window, provide all required details, including Auditor, Date, and Notes.
  2. Select the relevant tools and click “Add Tools” to include them in the audit scope.
  3. Click “Schedule Audit” to finalize the scheduling.

Assign, Review and Complete Audit

Only the designated auditor can perform the audit. The process is divided into three key stages:

1. Assign Tool Class

  • Add assignees by selecting “Add Assignee”. You can add a person as an Assignee only if that person is associated with that Service location in any way.

  • Choose users from registered accounts or invite new participants via email.

  • Assign tool classes by selecting the appropriate tools for each assignee.
  • Click “Next” to proceed.

2. Assignee Status

  • Monitor progress by selecting “Check Status”, which provides visibility into task completion for each assignee.

3. Review

  • Once all assignees have completed their audits, review the results.
  • Click “Review Audit Results” to examine outcomes.

  • Finalize the audit by selecting “Save & Complete Audit”.

Once the audit and saved & complete, you can see actions under the Actions tab, based on the audit.

Perform Audit

An Assignee designated for a specific audit is responsible for performing it. Audits can be conducted using either a laptop or a mobile device.

Performing an Audit via Laptop/Desktop

Follow the steps below:

  1. Click the “Perform” button for the assigned audit.

A new window will open.

  1. Select tool class, click on Add tool and then enter Tool Observations, including:
    • Tool Calibration
    • Tool Physical Condition
    • Serial Number

  1. Adding a Certificate photo is optional at this stage. It can also be uploaded later by the Auditor.
  2. Click “Save” to record the details.

  1. To add another tool under the same tool class, click “Save and Add Another.”

Performing an Audit via Mobile Device

Follow the steps below:

   1.    Click the “Perform” button for the assigned audit.

A new window will open.

   2.    Select a tool class and click on “Continue on Mobile Device.” A QR code will be displayed.

   3.    Scan the QR code using your mobile device and log in with your Cummins credentials.

   4.    Enter Tool Observations, including:

·      Tool Calibration

·      Tool Physical Condition

·      Serial Number 

   5.    Upload Tool Photos and Certificate Photos (if the calibration status is Within Guidelines). You may also use your device camera to capture and upload images directly.

Create TAPs

Following audit completion, Account Executives can initiate corrective actions through a
Method 1: From the TNF Scorecard

  1. Open the TNF Scorecard for the desired service provider.
  2. Navigate to the TNF Action Plan tab.
  3. Click “+ Add Task” to open the TAP creation window.

  1. Enter all required information (e.g., Title, Description) and define tasks.
  2. Click “Add Plan” to save.

Method 2: From the Asset Audit Page

  1. Open the TNF Scorecard for the service provider.
  2. Navigate to the Asset Audit tab.
  3. Select an audit that either has no TAP or has a completed TAP.  To open the audit, click on ‘View’ button.

  1. Click “+ Add TAP” to initiate TAP creation.

  1. Provide all required details and define tasks.
  2. Click “Add Plan” to save.

Upon creation:

  • Users with Salesforce integration will have the TAP automatically created in Salesforce.
  • Other users will receive an email notification.

Roles and Permissions

  • Assignees cannot modify core TAP details such as Title or Description; however, they can update task status (check/uncheck tasks).
  • Assignees may request a review upon task completion using the “Request Review” option.

Assignees, followers, and creators will receive system-generated email notifications based on their respective roles.
